Liberty Wines was grappling with inefficiencies and limitations in their HR and payroll operations. Their existing systems were fragmented and outdated, resulting in a heavy reliance on manual processes and paper-based workflows. Up to two weeks each month were lost to double-handling data, costing the business time and resources.

Manual payroll calculations and data entry created a risk of human error and compliance issues. Meanwhile, limited system support, poor user experience, and outdated technology led to low engagement with HR systems and little visibility into key workforce data.

The People team was operating with a lean structure and a full workload .With no budget to expand headcount, they needed technology that could free them from administrative burden and allow them to focus on more strategic, high-value work. It was clear that Liberty Wines needed a digital transformation that would streamline operations, improve engagement, and prepare the business for future growth.

We implemented Core and Talent modules in HiBob to create a modern HR foundation that would streamline processes, reduce manual work, and enhance scalability.

Key elements of the solution included:

Payroll stability: Helping stabilise payroll operations and improve cut-off times from the 18th to the 12th of the month, better aligning with business needs.

Data-driven insights: Enhancing access to key workforce metrics, such as onboarding and exit feedback, ED&I data, and talent visibility.

Manager enablement: Simplifying people management with user-friendly workflows, analytics, and improved performance review processes.

Future readiness: Laying the groundwork for future modules, including compensation and learning.

From the outset, Udder focused on more than just replacing technology. We worked closely with Liberty Wines to understand the root causes of their challenges and design a solution that would address them holistically.

Because of our experience with similar implementations, we were able to take a highly tailored approach, guiding the client through every stage — from system configuration to post-launch support. We acted as an extension of their team, helping them navigate complex issues such as delays with HiBob’s UK payroll (which sits outside our remit) and ensuring they remained on track throughout the project.

Our collaborative governance model, regular check-ins, and dedicated training for administrators ensured the People team felt confident and supported, both during the transition and beyond go-live.

Results

The transformation has been significant. Liberty Wines now operates with far greater efficiency, with automated workflows replacing manual processes and freeing up valuable time and resources. Payroll is more stable and aligned with business needs, and the People team is better equipped to act as a strategic partner to the organisation.

Employee experience has improved thanks to a more intuitive and engaging system, while access to data and insights has enhanced decision-making and workforce planning.

Although the client has not yet returned for further work, the strong collaboration and shared success have laid the foundation for an ongoing partnership. Liberty Wines now has a scalable, future-ready HR platform that not only meets their current needs but can evolve with the business as it grows.
